How Much Does Fathom Cost? Real Ecommerce TCO for 2026

·By Matt Putra, Managing Partner ·14 min read

Fathom AI is free forever with a 5 AI-summary/month cap. Most ecommerce teams pay for Team ($15/user/month annual) or Business ($25/user/month annual). A 5-person team runs $900-$1,500/year and a 10-person team $1,800-$3,000/year, with no per-minute overages on any tier.

How Much Does Fathom Cost? Real Ecommerce TCO for 2026

Key Takeaways

  • Fathom's free plan is real but capped on AI. Unlimited recordings, transcripts, and storage, but only 5 advanced AI summaries per month. After that you get the basic summary template or you upgrade.
  • Most ecommerce teams land on Team ($15/user/month annual) or Business ($25/user/month annual). Annual billing saves 20-26% versus monthly across every paid tier.
  • A 5-person team pays $900-$1,500/year; a 10-person team pays $1,800-$3,000/year depending on whether you need CRM field sync and deal coaching (Business) or just shared search and SSO (Team).
  • CRM field-level sync is Business-only. Free and Premium get basic sync for up to 3 users per domain. Automated deal-stage and value mapping unlocks at $25/user/month.
  • Fathom Business at $3,000/year for 10 seats is 60-80% cheaper than Chorus or Gong, both of which start at $8,000+ with platform fees. The cost ceiling is purely seats times rate, with no per-minute or per-recording overages on any tier.

Search "how much does Fathom cost" and the honest answer is "anywhere from nothing to a few thousand dollars a year," which is not helpful when you're trying to budget a tool stack. Fathom AI (the meeting notetaker at fathom.ai, not the Fathom HQ accounting product) leads its marketing with "free forever," and that part is true. But the moment an ecommerce team wants shared meeting search, keyword alerts on words like "refund" or "churn," SSO, or real CRM field sync with HubSpot or Salesforce, it lands on a paid tier with a clear monthly price. This post maps the full pricing ladder, models the real annual total cost of ownership (TCO) for 3-, 5-, and 10-person teams, and shows where Fathom sits against Gong, Chorus, Fireflies, and tl;dv.

What Fathom's four plans actually include

Fathom runs four tiers: Free, Premium, Team, and Business. Pricing is per user, and the only real lever on your bill is seat count times rate. There are no recording-volume overages anywhere in the lineup.

Free is the one that surprises people. It includes unlimited recordings, transcription in 38 languages, and unlimited storage with no meeting-minute caps. The single meaningful limit is on AI: advanced summaries are capped at 5 calls per month. After that you drop to the basic "General" summary template. For a solo founder or a single sales host, that is frequently enough to never pay anything.

Premium ($16/user/month on annual billing) lifts the AI summary cap to unlimited for one user. That is mostly the whole pitch. It does not add team search or SSO, which is why we tell operators that Premium is a power-user upgrade for one seat, not a team plan. If two or more people need to share and search recordings, you skip Premium and go to Team.

Team ($15/user/month annual, 2-user minimum) is where most ecommerce teams actually live. It adds shared team search, SSO, and keyword alerts on top of unlimited AI. Business ($25/user/month annual, 2-user minimum) layers on full CRM field-level sync (automated deal-stage, value, and next-step mapping) plus deal-view and coaching analytics. The table below lays out the full matrix.

PlanMonthly ($/user)Annual ($/user)Min usersAI summary capCRM syncTeam searchSSOCRM field syncDeal view / coaching

Business$34$252UnlimitedFull field-levelYesYesYesYes

One quirk to flag: the basic CRM sync on Free, Premium, and Team is limited to 3 users per email domain. That is a domain-level restriction, not a per-seat one, so a larger team that needs everyone writing back to HubSpot will find that limit is really a nudge toward Business.

The upgrade triggers: when free stops being enough

The useful way to think about Fathom pricing is not "which plan" but "what crossed the line that forced me off free." There are three clean triggers, and each maps to a specific dollar step.

The first is the AI summary cap. The free plan gives you 5 advanced AI summaries a month. A founder taking a handful of calls rarely hits it. A two-person sales motion blows through it in a week. When you cross 5, you either accept the basic summary template or pay. For a single person, that is the $16/user/month Premium step. For two or more, it is Team.

The second trigger is collaboration and security: shared team search, SSO, and keyword alerts. The moment someone says "I need to find every call where a customer mentioned a discount code" or your security review demands single sign-on, you are on Team at minimum. Premium does not include these at any price, which trips people up because Premium and Team are nearly the same per-user rate.

The third trigger is revenue operations: CRM field sync and deal coaching. If your calls need to automatically update deal stage and value in HubSpot or Salesforce, or you want call-by-call coaching analytics across a sales team, that is Business only at $25/user/month annual. When I talk to founders running a brand at this size, the pattern we see again and again is that they over-buy here: they put the whole team on Business for a CRM feature that only the three people doing wholesale outreach actually use. That is usually a few hundred dollars a year of waste hiding in plain sight.

What your team will actually pay: TCO by headcount

Here is where the "free forever" headline meets a real budget. The table below sizes annual cost for a 5- and 10-person ecommerce team across the three paid tiers, all on annual billing.

The first lever is monthly versus annual billing. Annual saves 20-26% across every paid tier, so a team that pays monthly is leaving real money on the table. The table after it walks through the scenarios we actually see operators run, including the blended setup that is usually the right answer.

PlanMonthly ($/user/mo)Annual ($/user/mo)Annual savings

10-person, sales-heavy10Business$3,000Full revenue team with deal analytics

The blended 10-person setup is worth staring at: $2,160 versus $3,000 for putting everyone on Business is roughly $840 a year saved by being honest about who actually touches the CRM. When we've helped operators untangle their tool stack, that seat-discipline question is the one that recovers the most money fastest, because nobody ever audits it after the initial rollout. Worth noting that procurement benchmarks paint a higher picture than these scenarios: Spendhound reports an average SMB Fathom spend near $4,251/year, which tells you real-world deployments run more seats, more Business tiers, or both than the lean model assumes.

Fathom vs Gong, Chorus, Fireflies, and tl;dv

The reason Fathom shows up on so many ecommerce tool shortlists is that the next tier of meeting intelligence costs an order of magnitude more. The table below prices a 10-person team across the field.

ToolAnnual cost (10 users)Per user/monthCRM field syncCoaching analyticsNotes

Source: fathom.ai/pricing; Chorus via saleshive.com; Fireflies via guide.fireflies.ai; Gong via gong.io/pricing; tl;dv and Otter list pricing. Competitor enterprise rates are directional and fluctuate. Accessed 2026-06-18.

The read for an ecommerce operator: Fathom Business at $3,000/year for 10 seats does most of what Chorus and Gong do for coaching and CRM, at roughly 20% of Chorus's $15,600+ and a fraction of a typical Gong contract. Fireflies and Otter undercut Fathom on raw price ($1,200/year for 10), but both give up the deal-view and coaching analytics that justify the spend once you have an actual sales team. tl;dv sits in between. For a DTC brand whose "sales" motion is mostly wholesale and partnerships rather than a 15-rep floor, Fathom Team or a blended Team/Business setup is almost always the right altitude, and the enterprise tools are paying for a coaching apparatus you don't have the headcount to use.

Hidden costs worth knowing about

The good news on Fathom is that there are no usage traps. No per-minute transcription fees, no per-recording charges, no surprise overage line. The costs that actually catch teams are structural, not metered.

The 2-user minimum on Team and Business means the floor for either paid tier is two seats, so the cheapest Team annual commitment is about $360/year and the cheapest Business is $600/year. The annual billing commitment is the second one: you save 20-26% by paying yearly, but you are committing to twelve months, and mid-year seat reductions typically do not refund mid-term per standard annual SaaS terms; confirm with Fathom before signing. That makes seat discipline at signup matter more than people expect.

The third hidden cost is setup time, not dollars. Full CRM field sync on Business is powerful, but mapping deal stages and fields to your HubSpot or Salesforce instance is real implementation work. Budget a few hours of someone's time, or it sits half-configured and you are paying the Business premium for a feature you never turned on. And the fourth is the contractor question: every fractional consultant or agency partner on a shared call link is either a paid seat or a person watching from a guest link with fewer features. Deciding that up front keeps your seat count honest.

Fathom's pricing is refreshingly literal: seats times rate, billed monthly or annual, with no usage meter to blow your budget. The only place teams overpay is seat discipline, putting the whole company on Business for a CRM feature three people use. Audit who actually touches the CRM and the right plan usually pays for itself.

Startup, nonprofit, and Gong-switcher discounts

Before you commit, check whether you qualify to pay nothing. Fathom runs three discount programs that materially change the TCO math.

Affiliated startups (companies tied to selected VCs and accelerators) can receive up to two years of Fathom Team free. If your brand raised from a participating fund, that is potentially $1,800-$3,600 of value at a 10-seat Team configuration. Nonprofits qualify for 10 free Team seats, which covers most small nonprofit teams entirely. And the one most relevant to operators already spending on meeting intelligence: brands switching from Gong can get Fathom Business free through the remainder of their existing Gong contract term. If you are mid-contract on Gong and unhappy with the price, that switcher offer effectively lets you run Fathom in parallel at no cost until your Gong term lapses.

The application paths run through Fathom's pricing and contact pages. The point for budgeting is simple: the list price is the ceiling, not the floor, and for a venture-backed or nonprofit ecommerce brand the real number can be zero for the first year or two.

Sources and methodology

Fathom AI pricing page (primary). All plan rates, feature gating, AI summary caps, and discount programs were taken from fathom.ai/pricing, accessed 2026-06-18 via direct page scrape and deep-research triangulation. Fathom's published rates are Free ($0), Premium ($20 monthly / $16 annual), Team ($19 monthly / $15 annual, 2-user minimum), and Business ($34 monthly / $25 annual, 2-user minimum). Annual rates are billed yearly and represent a 20-26% discount to monthly.

TCO modeling. The annual cost scenarios for 3-, 5-, and 10-person teams are author calculations applying the published per-user annual rates to each seat count and tier, including the blended 7 Team plus 3 Business configuration. No overage or usage assumptions were applied because Fathom does not meter recording volume, minutes, or transcripts on any tier.

Third-party validation. Plan structure and feature gating were cross-checked against the Sonix Fathom pricing review (sonix.ai) and MeetingCompare (meetingcompare.com). Procurement benchmarks came from Spendhound, which reports an average SMB Fathom spend near $4,251/year across verified purchases, and CostBench, which reports a lower median contract skewed by free and single-seat data. The gap between our lean scenarios and the Spendhound average reflects real-world deployments running more seats and more Business-tier mixes.

Competitor pricing. Chorus (~$8,000/year base plus ~$1,200/seat) and Fireflies (Pro $10/user/month annual) rates came from saleshive.com and guide.fireflies.ai respectively. Gong does not publish list pricing; its custom platform-fee-plus-seat model is sourced from gong.io and third-party reviews and is directional only. tl;dv and Otter rates are list prices from their own pages.

Limitations. Two products share the "Fathom" name: Fathom AI (the meeting notetaker priced here) and Fathom HQ (an accounting and reporting SaaS at fathomhq.com). This post covers the meeting tool. Some third-party review sites show stale Fathom price points (for example $29/user Team); where sources conflicted, the canonical fathom.ai/pricing page was treated as authoritative. Competitor enterprise rates fluctuate and should be confirmed with the vendor before contracting.

Frequently asked questions

how much does fathom cost per month?

Fathom's free plan is $0/month. Paid plans on monthly billing are Premium at $20/user, Team at $19/user, and Business at $34/user. On annual billing those drop to $16, $15, and $25/user/month respectively. There are no per-meeting or per-minute charges on any tier.

is fathom free or paid?

Both. There is a genuinely free forever plan with unlimited recordings, transcripts, and storage. The catch is that advanced AI summaries are capped at 5 per month on Free. If you need more AI summaries, shared team search, SSO, or CRM field sync, you move to a paid tier.

can i use fathom for free forever?

Yes, if you can live inside the limits. The free plan never expires and does not cap recording volume or storage. It caps advanced AI summaries at 5 per month and excludes team search, SSO, keyword alerts, and full CRM sync. For a solo founder or a single host that is often enough.

what's the difference between fathom free and premium?

Premium ($16/user/month annual) removes the 5-summary AI cap and gives you unlimited AI summaries plus priority features for a single user. It does not add team search or SSO. Those are Team-tier features. Premium is really a power-user upgrade for one person, not a team plan.

how much does fathom cost for a team of 5?

On annual billing, a 5-person team pays $900/year on the Team plan ($15/user/month) or $1,500/year on Business ($25/user/month). Most ecommerce teams pick Team unless they need CRM field-level sync and deal coaching, which only Business includes.

how much does fathom cost for a team of 10?

A 10-person team pays $1,800/year on Team or $3,000/year on Business, both on annual billing. A common middle path is a blended setup: most ops staff on Team and 3 sales reps on Business, which lands around $2,160/year.

does fathom charge per meeting or per minute?

No. There are no per-meeting, per-minute, per-transcript, or per-recording overages on any tier. Your cost is purely seats times the per-user rate times your billing period. That makes Fathom unusually easy to budget against compared with usage-metered tools.

how does fathom pricing compare to gong or chorus?

It is dramatically cheaper. Chorus starts around $8,000/year for 3 seats and roughly $1,200/seat/year after that; Gong is custom-quoted with a platform fee and tends to exceed $5,000/year even for small teams. Fathom Business at $3,000/year for 10 seats covers most ecommerce coaching and CRM needs at a fraction of that.
